FORMS OF PARTICIPATION



1. PARTICIPATION IN THE EXHIBITION AREA*


All exhibitors have to pay a mandatory participation fee of 50 EUR. The participation fee includes the listing of the exhibitor in the event catalogue, on the website www.dobimo.se (subpage List of Participants) and in the floor plan of the event.

 

A STANDARD EQUIPPED EXHIBITION SPACE

You can rent an exhibition space in the following sizes: 9 sq m, 12 sq m, 15 sq m or more.

rp9m2The standard equipped exhibition space includes: floor covering, partition walls, two shelves, a table, two chairs, a counter, a fascia board with the exhibitor’s name and a wastepaper basket.

B UNEQUIPPED EXHIBITION SPACE

The unequipped exhibition space is completely empty (without any equipment, meaning without floor covering, partition walls, furniture, fascia board etc.) and can be equipped by the exhibitor as they wish. Additional equipment can be ordered subsequently through an online form available with the Exhibitors’ Manual. Also available are custom exhibition spaces on demand. 
Price: 84 EUR/sq m

C OUTDOOR AREA - PLATFORM IN FORNT OF KUPOLA HALL/A

The outdoor exhibition area is located in front of Kupola hall/A entrance and is completely empty (without any equipment, meaning without floor covering, partition walls, furniture, fascia board etc.) and can be equipped by the exhibitor as they wish. If you would like to have a time- and space-limited presentation on the outer platform, contact us and we will prepare a special offer for you.
Price: 50 EUR/sq m

Note: In case of bad weather, the organizer does not offer a substitute exhibition space in the indoor area nor is the organizer responsible for possible disturbances in the exhibitor’s presentation.

D JOINT USE OF EXHIBITION SPACE 

In case two or more organizations want to share the same exhibition space, the co-exhibitors must register and pay a registration fee. Co-exhibitors have the same benefits as other exhibitors.

BENEFITS WHEN RENTING AN EXHIBITION SPACE:

  • EARLY-BIRD DISCOUNT
The rental of an equipped or unequipped exhibition space in the early-bird application period ensures you a 10% discount on the exhibition space rental.

  • DISCOUNT ON OTHER FORMS OF PARTICIPATION
ZThe rental of an equipped or unequipped exhibition space brings you a 30% discount on other forms of promotion (listed under point 3) and if booking a conference room in the educational programme (listed under point 2).

Any additional equipment and services that are not included in the basic offer of the exhibition space rental, can be ordered on payment via the forms available with the Exhibitors’ Manual, out on 1 October 2012. The manual will include all the important information necessary for a successful and quality presentation of your organization. It will be available both in print via post and in PDF form on our website www.dobimo.se or via e-mail.

2. ORGANIZING LECTURES, WORKSHOPS, ROUND-TABLE DISCUSSIONS, OR PROMOTIONAL PRESENTATIONS*

 

A CONFERENCE ROOM RENTAL

You can present yourselves to the young visitors with a 45-minute lecture, workshop, round-table discussion or any other kind of presentation in one of the conference rooms, which seat from 40 do 150. Your participation should be confirmed to the Educational Programme Coordinator Grega Kajnih (grega.kajnih@proevent.si) by no later than 3 September 2012.*
The price includes: space rental, computer, projector, projection screen, and basic sound system.
Price: 292 EUR/hour

B ARENA CROSSING RENTAL

The Arena Crossing is the central area in Kupola hall (A) (measuring 40 sq m, sitting 25) where different company and organization presentations take place, as well as talks with interesting guests, a number of contests, and raffles. Participation should be confirmed to the Educational Programme Coordinator Grega Kajnih (grega.kajnih@proevent.si) by no later than 3 September 2012.*
The price includes: space rental, computer, plasma screen, and basic sound system.
Price: 200 EUR/hour

C PROGRAMME ON STAGE

Event participants are given an opportunity to have a 15-minute presentation on stage (measuring 48 sq m) where entertainment programme will take place throughout the day (different contests, musical and theatre performances, etc.). The presentation has to be coordinated with and confirmed by the Cultural and Sports Programme Coordinator Maja Nagelj (studentska.arena@dobimo.se) by no later than 3 September 2012.*
Price: 83 EUR/15 min

*NOTE: Applications are accepted until the deadline or until the programme is full, whichever comes first.


3. ADDITIONAL FORMS OF PROMOTION


A PROMOTION COUNTER

Only one person can perform promotion behind the counter. Any additional personnel will be treated as distributors of promotional material on site and charged accordingly (check next point Distribution of Promotional Material on Site). Dimensions of the promotion counter are 100 cm x 100 cm x 50 cm (width x height x depth). The recommended size of the poster for the front of the counter is 96 cm x 86 cm (width x height).
Price: 500 EUR/piece

B DISTRIBUTION OF PROMOTIONAL MATERIAL ON SITE

The price includes authorization for 2 distributors and one kind of promotional material. The clients can ensure the personnel for the distribution of the materials themselves or can leave it to the organizer to distribute the materials. Distribution of promotional material without the organizer’s authorization is not permitted.
Price:
  • Own distribution: 626 EUR/2 distributors & 1 kind of promotional material (the distributors must accredit themselves at the INFO POINT of the event)
  • Organizer’s distribution: 734 EUR/1 kind of promotional material (the client should deliver the promotional materials for distribution to the organizer address by no later than 12 October 2012)

C BILLBOARD RENTAL

The billboard is to be furnished by the client. Billboard location is determined by the organizer. Billboard dimensions are 100 cm x 200 cm (width x height). The recommended size of the posters is 90 cm x 190 cm (width x height).
Price: 83 EUR/piece

D BANNER SPACE RENTAL

The banner (horizontal, dimensions: 300 cm x 100 cm) is placed on a visible location in the exhibition area. The sponsors have priority in choosing the location of the banner, followed by exhibitors, and then other clients. The price includes banner space rental for the whole duration of the event (three days). The banner should be delivered to the address of the organizer by no later than 8 October 2012. The banner is to be made by the client.

E JUMBO POSTER SPACE RENTAL

At the Ljubljana Exhibition and Convention Centre there are jumbo poster spaces available during the fair, which the exhibitors can rent for additional promotion of their fair appearance. Dimensions of the jumbo poster spaces are 4 m x 3 m. The spaces are available until the capacities are full. The exhibitors should send the design for the poster in .PDF to aleksandra.rebec@proevent.si by no later than 12 October 2012. The organizer takes care of printing and mounting the poster.

F ADVERTISEMENT IN THE EVENT CATALOGUE

The catalogue is going to be 48−52 pages long (compact A5 format), published in a print run of 20,000 copies, and handed directly to the students a week before the event. The catalogue will feature a presentation of the event programme blocks, a floor plan of the exhibition area, and a list of all the participants. It is going to be distributed in all the student dormitories and faculties in Ljubljana, in the Kolosej multiplex cinema, in some cultural and sports institutions, and to all the participants in the event, to the University of Maribor, the University of Primorska, the University of Nova Gorica, and to all high schools in Slovenia.

  • 1/1 (148 mm x 210 mm): 920 EUR/advertisement
  • 1/2 (148 mm x 105 mm): 560 EUR /advertisement 
  • 1/4 (74 mm x 88 mm): 335 EUR/advertisement

The advertisement should be delivered via e-mail to: aleksandra.rebec@proevent.si in vector graphic in .EPS or .PDF format (text in curves), in the chosen size, in CMYK colour space and 300 dpi resolution by no later than 10 September 2012. The advertisement should be ready for print with a 3–4 mm bleed.

*In case the advertisement is not delivered in the right format, the Organizer takes no responsibility for the quality of print. The Organizer is not obliged to publish an advertisement that was not delivered on time.

G ADVERTISEMENT IN THE EXHIBITORS’ MANUAL

The Exhibitors’ Manual is a collection of all the important instructions and information for exhibitors given to everyone participating in the exhibition part of the event. It is approximately 15 pages long (A4 format).

Prices:
  • 1/1 (210 mm x 297 mm): 835 EUR
  • 1/2 (210 mm x 148,5 mm): 500 EUR   

Advertisement formats:



The advertisement should be delivered via e-mail to: aleksandra.rebec@proevent.si in .PDF format by no later than 10 September 2012. The advertisement should be without a bleed.

*In case the advertisement is not delivered in the right format, the Organizer takes no responsibility for the quality of print. The Organizer is not obliged to publish an advertisement that was not delivered on time.

H ADVERTISEMENT ON THE PLASMA SCREEN

The plasma screen is going to be placed at the entry to the exhibition area. In the three days of the event, your advertisement is going to be played approximately 250 times.
Price:
  • advertisement up to 30 seconds: 26 EUR/sec
  • advertisement from 31 seconds and more: 20 EUR/sec
The advertisement should be prepared as follows: 720 pxl x 480 pxl (width x height) in .AVI or .MPEG format without any compression. The advertisement should be delivered on a portable media sent by post to the Organizer's address (files bigger than 20 MB) or via e-mail to: lara.petkovsek@proevent.si (files smaller than 20 MB) by no later than 10 September 2012.
 

I BANNER LINK OR LOGO PUBLISHED ON THE ŠTUDENTSKA ARENA WEBSITE

The Študentska arena website www.dobimo.se is interesting to students and exhibitors, as well as sponsors and the general public. In the period from 1 September to 31 October it has been visited by more than 20,000 different users. On the website we can publish your banner link that is visible on the homepage and all subpages or a logo link that is published on one of the subpages. The banner/logo link is visible on the website from the day the contract is signed until the 31 October 2012.
Prices:
  • Banner link, 160 pixels x 600 pixels: 825 EUR/banner
  • Banner link, 468 pixels x 60 pixels: 650 EUR/banner
  • Logo link: 300 EUR/logo
The logo should be delivered in .JPG format and in RGB colour space. The banner should be delivered in .SWF or .JPG format. In both cases the web address to which the banner/logo should be linked to should be annotated.

NOTE: None of the prices in the Invitation for Participation include 20 % VAT that is to be paid by the client. Unless otherwise specified, all the prices are valid for the whole duration of the event and are not charged by the day.



4. internet prize game package


The Študentska arena Internet Prize Game will take place at the website www.dobimo.se. It will be activated a month before the event, i.e. on 21 September 2012. In the period from 1 September to 31 October the website has been visited by more than 20,000 different users. Participating in the Internet Prize Game means donating a prize Študentska arena can give away in the prize game. Participation includes listing of the prize on the subpage of the prize game and a logo link of the prize-giver published next to the prize.
